StaffLedger Terms of Service

Please read these Terms of Service carefully before using the StaffLedger mobile application or web platform. By accessing or using StaffLedger, you agree to be bound by these terms.

1. About StaffLedger

StaffLedger is an HR management platform operated by Datafin Limited, based in Fajara, Banjul, The Gambia. The platform provides HR tools including attendance tracking, payroll management, leave management, performance tracking, and employee self-service features.

2. Eligibility

StaffLedger is intended for use by employees and HR professionals in an employment context. By using this platform, you confirm that:

  • You are at least 18 years of age
  • You are using the platform in connection with a legitimate employment relationship
  • Your use has been authorised by your employer or HR administrator

3. User Accounts

3.1 Account Creation

Accounts are typically created by your employer or HR administrator. You are responsible for keeping your login credentials confidential and must not share access with any other person.

3.2 Account Accuracy

You agree to provide accurate information and to update your profile when your details change. Providing false information may result in suspension of your account.

4. Acceptable Use

You agree to use StaffLedger only for its intended HR management purposes. You must not:

  • Attempt to gain unauthorised access to any part of the platform or another user's account
  • Use the platform to submit false attendance records, fraudulent leave requests, or inaccurate HR data
  • Interfere with or disrupt the platform's infrastructure or servers
  • Use the platform for any unlawful purpose or in violation of any applicable law
  • Attempt to reverse-engineer, decompile, or extract source code from the application

5. Employer Responsibilities

StaffLedger is deployed by organisations (employers) to manage their workforce. Employers who subscribe to StaffLedger are responsible for:

  • Ensuring employees are informed about the platform and its data collection practices
  • Complying with applicable labour laws and data protection regulations in their jurisdiction
  • Managing employee access and deactivating accounts when employment ends

6. Intellectual Property

All content, features, and functionality of StaffLedger, including the application design, software, trademarks, and logos, are owned by Datafin Limited and protected by applicable intellectual property laws. You may not copy, modify, or distribute any part of the platform without our express written permission.

7. Data and Privacy

Your use of StaffLedger is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review the Privacy Policy to understand how we collect, use, and protect your data.

8. Service Availability

We strive to maintain high availability of StaffLedger but do not guarantee uninterrupted access. We may perform scheduled or emergency maintenance that temporarily affects access. We are not liable for any loss arising from temporary unavailability of the platform.

9. Limitation of Liability

To the maximum extent permitted by applicable law, Datafin Limited shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use StaffLedger, including loss of data or business interruption.

Our total liability for any claim arising from your use of the platform shall not exceed the amount paid by your employer for the service in the three months preceding the claim.

10. Termination

We reserve the right to suspend or terminate your access to StaffLedger if you violate these Terms or if your employer's subscription is cancelled or terminated. Upon termination, your access to the platform will be revoked and your data will be handled in accordance with our Privacy Policy and applicable law.

11. Changes to These Terms

We may update these Terms from time to time. We will provide reasonable notice of significant changes through the app or by email. Your continued use of StaffLedger after such changes constitutes acceptance of the updated Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of The Gambia. Any disputes arising from these Terms or your use of StaffLedger shall be subject to the jurisdiction of the courts of The Gambia.
